We will be the Data Controller of your personal data which you provide to us or which is collected through this website and directly through you (if applicable). It is important that you read this Statement so that you are aware of how and why we are using your personal information and how we will treat it.

The Type of Information We Collect From You and How We Use It

We will collect various types of personal information from you when you apply to foster, adopt, provide short-term care, emergency transport, or seek to surrender, depending on the services which you use. Further details of how we use your personal data are set out below.

In this section, we have indicated how we need to process your personal data.

Apply to Foster, Adopt, Short-Term Care and Emergency Transport

In order to put yourself forward to be able to foster, adopt or provide short-term care and / emergency transport from or for The Red Road Foundation, you are required to provide information that allows The Red Road Foundation to put you onto their information database. This information includes your name, address, and details about your preferences for The Red Road Foundation services.

This information is only used to match you with potential fostering or adoption options. Once a match is made we will inform you and then ask permission to send your contact details to the owner for further discussion. This information is not ever shared with any other third parties without your permission.

If a meet takes place we will ask for some Photo ID to be sent in form of a passport or driver’s license, if the adoption proceeds we keep this on a secure drive for 90 days. If no adoption takes place, we will delete it immediately once this has been ascertained.

Your information is kept for as long as is required for the service to be provided, or until you request to be removed.

Apply to Surrender

In order for The Red Road Foundation to assist you with surrender, you will need to provide them with personal information including name, address, email, and contact details. Once a match is made we will inform you and then ask permission to exchange your contact details to the match for further discussion This information is only seen by the administration team at The Red Road Foundation. This information is not ever shared with any other third parties without your permission.

This information is kept for the full duration of the adoption, so it can be referred to if required. If you would like this information to be deleted after the adoption has been completed, you will need to contact The Red Road Foundation and make this request. This may be granted depending on the circumstance.

Your Rights

Data protection laws provide you with the following rights to:

  • request access to your personal information (commonly known as a “data subject access request”). This enables you to receive a copy of the personal information we hold about you and to check that we are lawfully processing it;

  • request correction of the personal information that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected;

  • request erasure of your personal information. This enables you to ask us to delete or remove personal information where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal information where you have exercised your right to object to processing (see below);

  • request the restriction of processing of your personal information, for example, if you want to establish its accuracy or the reason for processing it; and

  • request the transfer of your personal information to another party.

You also have the right to object to the processing of your personal information where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where we are processing your personal information for direct marketing purposes.

You will not have to pay a fee to access your personal information (or to exercise any of the other rights above). However, we may charge a reasonable fee if your request for access is manifestly unfounded or excessive. Alternatively, we may refuse to comply with the request in such circumstances.

We or the administrator may need to request specific information from you to help us confirm your identity and ensure your right to access the information (or to exercise any of your other rights). This is another appropriate security measure to ensure that personal information is not disclosed to any person who has no right to receive it.

Where we rely on your consent to process your personal data, for example in relation to any direct marketing we provide to you, you have the right to withdraw your consent for that specific processing at any time. To withdraw your consent in relation to direct marketing, please contact us using any of the details set out below.

You have the right to make a complaint at any time to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues.

Please note that as the administrator may store other information from your use of this service, you should also contact them directly if you would like to exercise your rights in relation to the data held by them.

Updating Your information

It is important that the personal information we hold about you is accurate and current. Please keep your records with The Red Foundation up to date. If you wish to update or amend your personal data, please contact us directly.

Storage of your information

Unless we need to keep your data for legal purposes, we will only retain your personal information as long as required to match you with a service provided by The Red Foundation.
